Multi-room reservation - switching assigned passengers?

Just back from our cruise and I wanted to follow-up on the room/passenger transfer process. In short, I went to Guest Services and they were able to take care of everything easily. Since I had a lot of changes, I had pre-printed a sheet showing which passengers I wanted in each room. They made the adjustments, re-printed KTTW cards (we threw away the originals) and then were able to re-program our MagicBands. You do have to physically have the MagicBands with you, as they physically scan them to set them up.

The only minor speed bump was when we went up to the rooms and found out that one of the rooms we put 4 people in couldn't accommodate 4 (it didn't have the pull-down bed from the ceiling). Apparently Guest Services doesn't know which rooms sleep 4 and which ones don't, so they just took what I told them. So, we figured it out at the staterooms, then I went back down to Guest Services and shuffled around again with 2 rooms. Not a big deal.

Overall, it took less than a half hour and we were set for the rest of the cruise!
Did you ask someone inside the terminal about your room-switching dilemma before boarding the ship? Or did you only go to Guest Services?

I asked during check-in at the terminal and they indicated I had to do it all on the ship at Guest Services.

Oh this is all good to know. We are tentatively planning to take friends on the Disney Cruise in 2026 and wanted to put DH initially in their room so they would get our Platinum benefits, especially to allow us to have the same embarkation times and early booking of excursions together, but DH likes using his MB+ and we need to be able to move him back once onboard.

Our experience switching rooms was as easy as @Bmlors. Shortly after we boarded the Dream, we went to Guest Services. We had two rooms and wanted to switch me and my mom. They easily did that and printed new KTTW cards. They also reprogrammed my Magic Band to work for my new room. My mom did not have a Magic Band. It was super easy and simple.

We told the Guest Services cast members that we had read some reports that switching rooms was easy and some reports that it was hard. They noted that people ask to do it all the time and it is easy for them to do.

Such great news! While we would have dealt with the extra KTTW card if necessary, this actual change of everything will make things so much easier. We're only moving one person but wanted to make sure we could all board together and also to try and book some excursions earlier.

Would it be even easier to make the change online when you are more than 45 days away from sail date? I ask this because the PlanDisney reply to someone's question "I've booked 2 staterooms for an upcoming cruise, but I would like to reassign the guests. Can I do this online and if so, how?"

The PlanDisney reply was "whenever I want to make a change or rearrange stateroom Guest assignments, I always contact a crew member by phone. When last I spoke to the crew, they reminded me that if the name change is 45 days or more prior to your sailing, then there will be no charge associated with this update."

That sounds easier... I wonder what I'm missing.

Our situation: (next week when early reservations are opened for Summer '26)
Room A booked with person 1, 2, 3. (person 1 is Platinum)
Room B booked with persons 4, 5. (person 4 is Gold)
Room A and B are both in the same category.

Our goal: Swap persons 1 and 5. (We're just trying to take advantage of lower prices from early booking as persons 2, 3, and 5 have never cruised before.) Once we have the two room assignments, can we wait a week or so and do this online? It just seems that it makes excursion planning, muster drills, KTTW repeats, MB+ reprogramming and all easier. I do recognize that it will affect the allowable OLCI date, though.

I tried this via phone ahead of time -- they would not let me change the lead guest on a room without a full cancellation and rebook. So in your scenario, moving Person 1 can't be done until you board. Worth a call to ask and try it, but I didn't have any success...
 
Thanks @Bmiors, I'll try via phone and if we don't have any luck, we'll just wait until we board and then go hit guest services.
